The Proposal Coordinator will assist in company-wide Business Development efforts. The
successful candidate will support Business Development, Estimating, and other departments, by
expediting quality responses to requests for information, pre-qualifications, proposals, and award
nominations, as well as supporting the development and maintenance of company-wide
marketing materials.

• Prepare responses to Request for Information/Qualifications/Proposals, as well as project
award nominations;
• Generate Resumes, Project Profiles, and additional materials for specific opportunities /
• Understand and speak to/present Cianbro's programs;
• Complete marketing research, organize materials, and present data; and
• Assist with additional projects, including the development and maintenance of
corporate/company-wide documentation.

The Proposal Coordinator reports directly to the Business Development, Manager of Proposals.
This is a hands-on position that requires the individual to work harmoniously with regional and
corporate as well as project team members, subcontractors, and clients during the performance of
their duties. Very strong interpersonal skills are a must. Demands a strong work ethic, initiative,
and commitment to quality. The successful candidate will be able to work on his/her own and on
a team, with minimum supervision.

Bachelor's degree in Business, Marketing, Communications, Journalism, English, or related field
or equivalent experience to include at least five years in a fast-paced environment. Advanced
computer skills in Microsoft Office Suite, including Word, Excel, PowerPoint, and Visio, in
addition to Adobe Acrobat. Excellent writing and editing skills, with ability to creatively adapt
style to fit the market, project, and target audience. Knowledge/familiarity of construction
terminology as it relates to contract delivery methods and proposal submittals, etc. Must possess
and demonstrate excellent communication skills with a personable, professional demeanor and a
collaborative attitude. Ability to complete multiple priorities with a sense of urgency while
maintaining accuracy and with utmost confidentiality. Attention to detail, accuracy, spelling and
correct use of grammar in producing/reviewing high quality products.

Job Title: Proposal Writer
Dept./Group: Marketing

Reports to: Sr. Manager, Proposals

Position Summary (Purpose of job):
The Proposal Writer supports the Sales Executive with the completion of unsolicited proposals as well as responses to Requests for Proposals (RFPs), Request for Information (RFIs), questionnaires (e.g., ICD-10, security and technical) and other related requests. Under the direction of the Senior Manager, the Proposal Writer:

Provides proposal management, project management, writing and editing expertise
Leads proposal development teams consisting of sales, subject matter experts and others, including at times individuals from other McKesson business units or partners, to ensure successful completion and delivery
Maintains database content (in collaboration with other team members)
Develops and updates tools for field, including do-it-yourself pricing proposal templates, proposal templates and model RFPs as assigned
Ensures application of McKesson style, legal and other guidelines
Participates in process improvement projects as assigned

This position may also work on Strategic Marketing projects, e.g., write copy for marketing collateral and websites, support the development and revision of various marketing projects.

The Proposal Writer works closely with the Sales Executive, Senior Proposal Manager and other teams or individuals in many departments and levels across the organization to develop a persuasive, compliant and thorough response for government and commercial clients. This position typically leads proposals of average complexity and helps with high complexity proposals, but will occasionally be required to lead proposals with high complexity. The Proposal Writer is expected to utilize Proposal Team tools and follow Proposal Team processes and best practices at all times.

Key Responsibilities:
Provide proposal management, project management, writing and editing expertise.
• Read and analyze proposal request
• Research prospect, opportunities, competitors, contracts and other information
• Conduct first pass of each proposal using content database and past responses
o Strive for up to 80% of answers completed before calling on others within the organization
o Coordinate completion of required forms and collection of standard information (e.g., firm financial information) for inclusion in proposals
• Provide comprehensive writing & editing expertise to ensure accuracy and quality of response (e.g., edit final document and responses to specific questions)
• Ensure that proposal response adheres to McKesson brand standards and proposal guidelines, both in terms of visual look and feel and overall tone and voice
• Ensure delivery and archiving of final proposal.
• On most complex proposals, collaborate with senior writer or proposal manager as part of writing team.

Lead proposal development teams consisting of sales, subject matter experts and others, including at times individuals from other McKesson business units or partners, to ensure successful completion and delivery.
• Analyze proposal request, hold kickoff meeting and formulate project plan outlining clear expectations of proposal objectives and team member responsibilities (including responsibilities of others in the organization)

• Facilitate all communications, ensuring all deadlines and quality controls are met. Identify and track issues, and drive to resolution. Oversee review process, as well as production and delivery
o Track issues/resolutions, analyze proposal inputs from team and work with production staff to manage/conduct final production/delivery
• Write executive summary. Articulate win themes and communicate them in the executive summary and throughout the response, in support of the sales strategy
• Utilize writing and editing proficiency, knowledge of the RFP, and expertise in McKesson and MHS solutions to ensure compliance, thoroughness, accuracy and quality of response
• Conduct follow-up, including archiving proposal, ensuring Q&As are loaded in database, and conducting post mortems as appropriate

Maintain database content (in collaboration with other team members).
• Load content related to product line assigned
• Update content consistent with messaging received from product management, product marketing and strategic marketing
• Ensure content accurately reflects the latest features, benefits and overall messaging
• Update software as needed, troubleshoot and train users

Develop and update tools for field, including do-it-yourself pricing proposal templates, proposal templates and model RFPs as assigned
• Stay abreast of developments for assigned products through engagement with Product Management, participation in regular training, and reading product and marketing updates
• Create or update templates as needed to reflect product, message and branding updates
• Develop or write “generic” model RFPs that encompass questions that allow McKesson to present its solution in the most compelling manner

Participate in ad hoc projects in support of Marketing and/or Proposal and Strategic Marketing objectives as assigned
• Provide writing and editing help when needed
• Participate in special projects, such as infrastructure projects, as needed

Participate in process improvement projects as assigned
• Manage post-delivery debrief when appropriate to collect lessons learned
• Share learnings from APMP conferences, Cross-McKesson Forum and trainings with team
• Document and test team processes as assigned
• Train new team members in team processes as assigned
• Maintain team process documents and tools

Minimum Job Qualifications:
Education: Bachelor's level degree in a related subject area preferred (e.g., Communications, English, Business, Marketing, and Journalism, or Healthcare-related field)

Business Experience –
• 3-5 years of experience writing proposals or related experience, preferably for a healthcare and/or technology market, or related experience
• APMP certification preferred

Specialized Knowledge/Skills –
• Ability to manage projects independently demonstrating good judgment regarding when to ask for help
• Ability to network throughout matrixed organization to obtain answers to question
• Ability to communicate at all levels of the organization to ensure successful response
• Ability to multi-task and meet project deadlines
• Ability to work under tight deadlines and produce high quality work
• Advanced proficiency in Microsoft Office Tools including but not limited to Outlook, Word, Excel, PowerPoint, SharePoint, and Internet Explorer
• Attention to detail-oriented and follow-up
• Must be able to work independently
• Strong project management skills
• Strong teaming skills
• Strong written and verbal communication skills
• Strong writing, editing and proofreading skills
• Strong proficiency in content management software preferred
• Strong understanding of APMP/Shipley guidelines preferred

Working Conditions:
Environment (Office, warehouse, etc.) – working conditions will include office environment as well as some travel on an as needed basis.

Physical Requirements (Lifting, standing, etc.) – normal office requirements.
